Meetings in other localities, such as neighbouring ones, are not allowed. 2) Meeting dates (the month of October is excluded): a) November – In the ‘Tender Form’, the Contractor will be required to offer appointments (working days from Monday to Friday) outside the excluded dates, i.e. 16-17.11.2026 and 30.11.2026 b) December – The Contractor in the ‘Tender Form’ will be obliged to offer the date of meetings (working days from Monday to Friday) from 01.12.2026 to 04.12.2026. Given that the expected duration of a single meeting is approximately 2 hours, the Contracting Authority allows two meetings to take place on one day from among the selected locations indicated above, provided that the transfer from one place to another will not take longer than 45-60 minutes by car, and the second meeting will last no longer than until 17. Example: - 03/11/2026 hrs 10-12 meeting in Maków Mazowiecki - 03.11.2026 14-16 meeting in Ostrołęka The Contractor's offer will be rejected if the Contractor does not indicate the date or time of any meeting in the Offer Form. 3) In the Tender Form, the Contractor is obliged to provide object data for each location (location). The Contractor's tender will be rejected if the Contractor in the tender form: - indicates in a given locality an object that does not meet the requirements of the Ordering Party, - the indicated object with the given name and address will not meet the standards and equipment indicated in the OPZ, - does not indicate the name, date and address of the object or only indicates the name of the object without a date, address or the address itself, which will prevent the unambiguous identification of the offered object and assessment of compliance with the provisions of the TMS; - any indicated facility will be located in a different place than specified in the VTZ. 4) Number of meetings – 12 5) Number of participants: a maximum of 25 persons per meeting, with the final number of participants in each meeting to be notified to the Contractor 5 working days before the deadline – a minimum of 20 persons and a maximum of 25 persons are allowed. 6) Tasks and main responsibilities of the Contractor: The service will be organized in a conference facility with a high, at least three-star standard. The Ordering Party allows the execution of the subject of the contract in conference facilities without a given categorization, but with a high, at least three-star standard. The facility must be adapted to the needs of persons with disabilities. If the contracting authority does not find a facility meeting the three-star standard in the indicated location, it also allows for the possibility of organizing a meeting in culture/sport and recreation facilities, provided that a conference/conference room for a minimum of 25 people with audiovisual equipment, Internet access, meeting the requirements for people with disabilities and a place for catering is available in these facilities. A detailed description of the subject of the contract is set out in the Annex.
