Organization and conduct of events under projects of Burgas Municipality, financed by funds from Burgas Municipality and external financial sources

… possible to determine in advance their exact type, number and timing, as well as the projects to be approved and launched, this contract aims to define the conditions for awarding the contracts on the basis of the individual components according to the type of event. The order includes, but is not limited to: • preparation and organisation of press conferences and conferences; • organisation of forums, workshops, round tables and meetings with stakeholders; • conducting information events and campaigns; • organisation of project peer-to-peer meetings; • organization of events at the start or completion of construction and installation activities on projects; • providing catering, lunches and dinners; • ensuring transport of participants; • technical provision of events; • photo and/or video capture; • production of invitations, visual and presentation materials; • preparation of social media posts; • accountability, including photographs and attendance lists. The services are provided both for small groups (up to 10 participants) and for events with over 100 participants. Most often organized events are of the type of conferences, forums, partner meetings, in which the number of participants is usually over 30. Each event must be made public. Public disclosure should be understood as: preparation of an advertising box/invitation/banner for distribution in information and social media, as well as production of presentation materials, in agreement with the Employer. An internal competitive selection will be carried out for each individual event and an invitation will be sent to potential contractors to supplement the offer according to the specifics of the event, for which a minimum period of 5 calendar days will be granted. In the invitation, the Contracting Authority determines the parameters of each event and the requirements for its conduct, according to the components included in the price proposal of the selected contractor. Contractors should note that the call may not include all the elements of the technical specification, but only some of them. The contract will be concluded on the basis of the invitation and on the basis of Article 82(3) of the Public Procurement Act. In view of the nature of the contract, the Contracting Authority provides for the possibility of holding more than one event in a short period or in different locations. Implementation can be ensured by the participant alone or through subcontractors and/or third parties, subject to the requirements of the Public Procurement Act. The public event can be held both indoors and outdoors, in person, online or hybrid. Premises and open spaces must be tailored to the needs of persons with disabilities. In case of necessity or unforeseen circumstances, the Contracting Authority reserves the right to require the selected contractors under the framework agreement to supplement their tenders with other types of activities/components, other than those described above, as the case may be. The venue of the events is the city of Burgas, and if necessary and if provided for in the relevant project, events will be organized outside the boundaries of the settlement. ​​​​
