Request for Information: Acquisition of Exhibition Construction Services for the Customs Authority

… supplier is responsible for the implementation of the department's structures, furnishings, technology, AV equipment, graphic materials and HVAC work. The service includes the construction of wards ready for use, their dismantling and the transport and storage of the ward's structures and goods. The service also includes the necessary joint planning meetings, presentations, department plans (including 3D illustrations and floor plans) and alterations, the necessary data collection to achieve the best possible result, and billing for the overall service. The supplier handles the coordination of the services related to the stand and the technical orders from the event organiser. Customs will participate in an estimated 1-3 larger trade fair events per year. In addition, Customs participates in several public events organised outdoors each year. The agreement does not commit to certain volumes of purchases, but Customs decides on participation in fairs and other public events annually at its discretion. The procurement will not be divided into lots according to the preliminary plan. The customer selects one (1) supplier as the contractual partner for the duration of the contract. The contract starts when the procurement decision becomes final from the signing of the contract. The estimated starting date is 1.1.2027. The customer is not bound by the estimate. Interested service providers can participate in the market prospection by sending an e-mail to competitive [email protected]. The service provider is requested to include at least the following information: - Service provider's geographical coverage (need for mainland Finland) - Service provider's experience of various kinds of trade fair services, in particular those provided by public organisations or non-profit organisations - Service provider's ability to store the contracting entity's current event furniture (such as tent, beach flags, fair table) - Service provider's ability to commission event furniture (such as tent, beach flags, fair tables) for the contracting entity - Does the service provider have some work done by subcontractors - In addition, the service provider may highlight proven practices in relation to the qualitative comparison of trade fair services. Correspondingly, Customs does not pay compensation to service providers for participating in the market dialogue.
